Refund
Refund & Cancellation Policy
Last updated: 19 August 2026
How to cancel, how to dispute an invoice, and when we refund.
1
Cancelling the service
Our agreements run for a fixed term and renew automatically for further terms of the same length. The term length and the notice period are set in your agreement.
To end the service at the end of the current term, send written notice to billing@getfoodbear.com before your notice period closes. We will confirm receipt in writing.
There is no termination for convenience part-way through a term. Either side may terminate immediately for cause — a material breach not remedied within 30 days of notice, insolvency, or an undisputed invoice more than 60 days past due.
2
What you pay when it ends
You pay for the service delivered up to the termination date, including a pro-rated fee for a partial month. Nothing is invoiced after that. We then help you transition and hand over your data and everything created for you.
3
Disputing an invoice
If you think an invoice is wrong, tell us in writing within 10 business days of receiving it, stating the amount you dispute and why. Amounts you do not dispute stay payable by their due date. We will work through it with you promptly.
4
Refunds
Our fee is charged monthly in arrears, for a service already delivered — so there is nothing prepaid to refund in the ordinary case.
Where an amount was invoiced in error, or for a service that was not delivered, we correct it. Depending on what you prefer:
•
we issue a credit note and set it against your next invoice; or
•
we refund the amount.
Refunds are issued within 14 business days of us agreeing the correction, to the payment method you used. Where that method cannot receive a refund, we refund by bank transfer to an account in your name. We do not charge a fee to process a refund.
5
Late payment
Undisputed amounts not paid by their due date may accrue interest at the rate set in your agreement. More than 30 days past due, we may suspend the service until it is settled; more than 60 days, it becomes a material breach and we may end the agreement.
